Arriving before hotel check-in on a business trip
Plan luggage storage, your first appointment and onward collection when your room will not be ready on arrival.

Ask the hotel what is actually available
An early flight arrival does not establish an early room check-in. Contact the hotel about room access, luggage storage and any paid early-arrival option before building the day around them. Keep the hotel’s response with your itinerary.
If you need to change clothes or prepare for a meeting, ask specifically about facilities. A lobby seat and luggage storage may not provide the privacy or space you need.
Choose the first destination deliberately
Decide whether to go to the hotel, office or another confirmed location. A hotel stop can be useful when storage is arranged, but it adds a stop to the journey and may need a different quote.
Tell P5 the full itinerary before booking. A transfer quoted directly to an office does not automatically include a detour, waiting at reception or a second journey after the meeting.
Keep the essentials with you
Pack meeting papers, a charger and personal essentials in the bag you will take to the appointment. Count every bag when selecting the vehicle, including any equipment travelling separately from the overnight case.
Do not rely on leaving luggage in a car after a point-to-point transfer ends. If you need time with a driver, discuss the itinerary, duration and conditions in advance. Keep valuables with you when leaving the vehicle.
Set up the next collection
Give the collection address and entrance for the onward leg. If you will leave the office from a different building or move to a workspace, update the booking with the team and obtain confirmation.
Before the final airport journey, allow time to retrieve stored bags. A pickup from the office may need a hotel stop that was not part of the original plan. Flag it early so timing, capacity and fare can be checked.
Plan the next step
Check your journey price
Enter the addresses, date, passengers and luggage to check the price. If your itinerary needs team approval, wait for a confirmed fixed fare before paying. Your confirmation sets out the agreed journey and included charges; changes and extra waiting may cost more.
