This policy explains what personal data P5 Chauffeurs — a private-hire chauffeur service licensed by Transport for London — collects, why, and your rights over it. It applies to https://www.p5chauffeurs.co.uk.

P5 Chauffeur’s Ltd is registered in England & Wales (company no. 17017342) and is a Transport for London licensed private hire operator (licence no. 11928). P5 Chauffeur’s Ltd is the data controller for the personal data described here, and can be contacted at admin@p5chauffeurs.co.uk.

What we collect

When you request a quote, book or enquire we collect the details you provide — your name, email and phone number, the journey pickup and drop-off, date and time, any flight number and any preferences. Address search uses OpenStreetMap (Photon) and routing uses OSRM; only the text you type is sent to those services to return suggestions and distances. If you pay online, your card details are handled directly by a PCI-DSS-compliant payment provider — we never see or store your full card number. We also collect limited technical data such as your IP address and browser type to keep the site secure. We do not use third-party analytics or advertising cookies, and we do not track you across other websites.

How we use it

We use your details to quote, confirm and deliver your journey, to contact you about it, to take payment, and to keep the records required of a licensed private-hire operator. Only with your consent do we send occasional service updates. We do not sell your data.

Legal basis

We process your data to perform our contract with you, to meet our legal obligations, for our legitimate interest in running and improving the service, and on the basis of your consent where it is required.

Who we share it with

We share only what is necessary with the chauffeur assigned to your journey, our dispatch system, our PCI-compliant payment processor, and public authorities where the law requires it. All operate under data-processing agreements, and any transfer outside the UK is protected by appropriate safeguards under UK GDPR.

How long we keep it

We keep booking records for 7 years for legal and tax reasons, correspondence for 2 years from last contact, analytics for up to 26 months, and marketing preferences until you withdraw them.

Your rights

You may request access to, correction of, or deletion of your data, restrict or object to its processing, or ask for a copy to transfer elsewhere, by emailing admin@p5chauffeurs.co.uk. You also have the right to complain to the Information Commissioner’s Office (ICO).

Cookies & security

We use a single essential session cookie for security (CSRF protection) and, if you sign in to the customer, driver or operator area, a secure login cookie. Data is transmitted over an encrypted connection and access is restricted to those who need it. See our Cookies page for detail.
